Lead follow-up: how fast to reply and how long to keep going

Reply to a new lead within the first minute, on the channel it arrived on, while the buyer is still looking. Qualify it against your ideal customer profile in that first conversation. Then keep following up on a fixed cadence, such as day 0 and day 7, across WhatsApp, voice and email, until the lead either converts or says no. Most leads are lost to silence, not rejection, because people stop following up after one or two attempts.

Speed to first reply

A buyer who fills a form is comparing options at that moment. A reply an hour later arrives after they have already spoken to someone else. The first minute matters more than the quality of the pitch.

Why leads go quiet

Reps follow up once or twice, then move on to newer leads. Nobody decides to abandon the old ones; they just fall below the fold of the CRM. Over a few years that becomes a list of thousands of leads nobody has touched.

Reopening the old list

The same cadence works on leads that went cold years ago. Re-approach each one in their own language, call the non-responders, and hand the interested ones to a person. Old leads already know the brand, which makes them cheaper to reopen than new ones are to find.

Frequently asked questions

How many times should you follow up a lead?
Until the lead converts or clearly says no. Stopping after two attempts is the most common reason leads are lost.
Should follow-ups be in the customer's language?
Yes. A follow-up in the language the customer actually uses gets more replies than a single default.
When does a person take over?
Once the lead is qualified. The agent hands over with the full conversation so nothing is asked twice.
