How a WhatsApp order desk works for distributors

A WhatsApp order desk lets retailers place orders in plain language in the chat they already use with their distributor. An AI agent reads each message, matches it to the right SKU and price list, confirms the order back in the thread, and logs it in the distributor's system. The same agent shares invoices on request, answers outstanding-dues questions, chases payment before dispatch on credit accounts, and onboards new retailers through a short WhatsApp registration flow, so no app install or field visit is needed.

Why distributors take orders on WhatsApp at all

Most retailers already message their distributor on WhatsApp. Ordering apps ask them to install something, remember a login and learn a catalogue screen. Many never do, and the orders keep arriving as WhatsApp messages and voice notes anyway.

The problem is not the channel. It is that someone has to read every message, work out what was ordered, type it into the system, and reply. That person becomes the bottleneck at peak hours and the gap after office hours.

What the agent does in the chat

  • Reads orders written the way retailers actually write them: short forms, mixed languages, brand nicknames
  • Matches each line to the right SKU and pack size, and asks when something is ambiguous instead of guessing
  • Confirms the order back in the thread so the retailer sees exactly what will be dispatched
  • Sends the invoice or ledger statement in the same thread when asked
  • Answers "how much do I owe" from the live ledger
  • On credit accounts, asks for payment before goods move

Onboarding new retailers without a field visit

A field rep can only reach as many outlets as travel time allows. A WhatsApp registration flow has no such ceiling: the retailer shares their shop details, documents and location in the chat, and the agent creates the account.

The rep's time moves from paperwork to the conversations that need a person.

Frequently asked questions

Do retailers need to install an app?
No. Ordering, invoices, dues and registration all happen inside WhatsApp.
What happens when the agent is not sure what was ordered?
It asks the retailer to confirm the item or quantity in the thread. Anything it cannot resolve goes to a person on the distributor's team with the full conversation.
Can the agent work inside existing WhatsApp groups?
Yes. It works as a teammate in the group the retailer already uses with the distributor.
