WhatsApp Business app vs WhatsApp Business API
The WhatsApp Business app is a free phone app for one business number, run by people tapping replies on a handful of linked devices. The WhatsApp Business Platform, usually called the API, has no app of its own: it connects your number to software, so messages can be sent, received and answered by systems and AI agents at any volume, and logged in your CRM. The app suits a small team replying by hand. The API is needed once you want automation, many agents on one number, CRM integration, or messages that start conversations at scale.
Side by side
| Business app | Business API | |
|---|---|---|
| Who replies | People, on a phone or linked devices | Software, AI agents and people through a shared inbox |
| Automation | Greeting, away message, quick replies | Any workflow your systems or agent can run |
| Integrations | None beyond the app | CRM, ERP, order and ticketing systems |
| Starting conversations | Broadcast lists, limited to contacts who saved your number | Approved message templates to opted-in customers |
| Cost | Free | Charged per message by Meta, plus any provider fee |
Templates and the customer service window
On the API, when a customer messages you, a customer service window opens and you can reply freely for 24 hours. Outside that window, a business can only start a conversation with a pre-approved message template, such as an order update, a reminder or an offer.
This is what keeps WhatsApp from turning into spam, and it shapes every automated flow: the first message out is a template, and the conversation that follows is free-form.
Signs it is time to move to the API
- More than one or two people need to answer the same number
- Messages are being copied into a CRM or order system by hand
- Replies slow down at peak hours or stop after office hours
- You want to reach customers who have not saved your number
- You want an AI agent to answer, not just a person
What changes when you move
A number registered on the API stops working in the regular WhatsApp or WhatsApp Business app, so plan the switch rather than doing it mid-week. Customers keep messaging the same number; what changes is what answers it.
Frequently asked questions
- Can I keep my existing number when moving to the API?
- Yes, a number can be migrated to the API. It then stops working in the WhatsApp Business app on the phone.
- Is the WhatsApp Business API free?
- No. Meta charges per message for most business-initiated messages, and providers may add a platform fee. Check Meta's current pricing for your country.
- Do I need the API to use an AI agent on WhatsApp?
